Information about using the University of Victoria's institutional repository, UVicSpace

Review process and corrections

After you deposit your thesis, it will go through a review process. While your thesis is being reviewed, it will labelled as Review in progress in My UVicSpace.

  • Graduate Admissions and Records Office (GARO) staff will review your submitted file(s) against the Thesis format checklist to ensure proper formatting.
    • If corrections are required, your submission will be rejected so you can make the changes and resubmit it (see instructions for making corrections below).
       
  • UVic Libraries staff will review the metadata entered on the submission form.
     
  • Your thesis will be archived in UVicSpace, and you'll be notified by email. It will be labelled as Archived in My UVicSpace.

Making corrections to your submission

If GARO asks you to make corrections to your thesis, replace the file in the submission form following the steps below. Do not create a new submission.

  • Make the necessary corrections to the file. Ensure that the filename still follows this naming convention: Smith_John_PhD_2010.pdf or Jones_Emily_MASc_2023.pdf
     
  • Log In to UVicSpace.
     
  • Go to your Profile --> My UVicSpace.
     
  • Under Your Submissions, click Edit under your thesis.
     
  • In the submission form, delete the existing file:
    •  Under Upload Files, click the red trashcan icon --> Yes, I'm sure.
       
  • Upload the corrected file by clicking browse or by dragging and dropping it anywhere on the page.
     
  • If you have a signed withholding form, follow the steps for adding withholding dates in Begin your submission.
     
  • Click + Deposit.
